Email form, similar as was used in board elections. Or if this creates too much manual work, simple custom-made HTML form (with HTTPS) which collects data.

I also would not trust Google for anything critical, especially as they are technically "competitors".

There are two views to openness: should an open organization require that every member is open (literally naked), or we are open to accept that some people want to be more open and some want to keep and control their privacy. I tend to like the latter more.
