Previously I think it’s been run as a WP instance of the OSM servers (the
OSMF one probably).

Results from Birmingham Convention Bureau's hunt for venues is back with
quotes from Aston Uni, Edgbaston cricket ground, Ricoh Arena, Holiday Inn,
Clarendon Suite.  Based on an attendance of 300 for a conference Fri-Sun
with setup time on Thursday the costs( which includes all refreshments and
lunches) I estimate are:

 

Aston Uni  £24100

Edgbaston Cricket Ground £35350

Holiday Inn  £31750

Clarendon Suite £32000

Ricoh Arena was way out and subject to having a match on simultaneously so I
discounted it

 

Other venues  are still to reply

 

If we have a delegate fee of EUR 50 then that will raise  £12000, if EUR 100
then £24,000 which gives us a manageable total to raise through sponsorship.

 

There will be other expenses which I put with a stab in the dark at £15000

 

All costs are ex VAT so we either need a charitable vehicle for avoiding VAT
or increase all the above by 17.5%

 

Availability

 

Aston 6-8 Sep

Edgbaston 6-8 13-15 Sep

Holiday Inn 6-8 13-15 Sep

Clarendon 13-15 Sep

 

Aston Uni has by far the best connectivity facilities the cheapest costs and
is the most central - wins my vote  (subject to what comes in today). Only
downside is availability - not ideal for dates to coincide with FOSSGIS

 

Let me know what you think. Andy R should I distribute to others outside the
W Mids who have shown an interest in helping us?
